GeoTracks Application Business Practices for Plan Projects

Filter, search, edit and create Activities. Note: Activities are most commonly entered via GeoTracks Web but can also be entered via Planner. 

Creating a Plan Activity in GeoTracks Web or Mobile

From the GeoTracks Web Application select ‘Activities’ on the toolbar (left side of screen) then click on the ‘+’ icon to ‘Add Activity’ and the Add New Activity summary will open on the right side of the screen. 

  1. Location  

    • Type in general location (town) in the search (or add by coordinates), select the correct location that appears below the search box, then click “next” 

  2. Office 

    • Select the appropriate field office(s) for the project, click “next” 

  3. Summary 

    • Activity Name: No current guidance on naming convention 

      • e.g., Johnson D, Forest Stewardship Plan 

    • DPA Plan: Select the appropriate DPA plan (this will only populate projects in selected DPA Plan) 

    • Project: Select the Plan project you just created or the desired project 

    • Category: For Plan select ‘Plans’ 

    • Type: Select appropriate plan type: 

      • Wildfire Mitigation Plan 

      • EAB Response 

      • Burn Plan 

      • Recon Plan 

      • CWPP 

      • Urban Forest Management 

      • Forest Management 

        • An additional plan category will be required for Forest Management Plans and must be selected within the activity ‘Details’ tab  

    • Unit of Measure:

      • For plans, choose ‘Acres’ captured under plan  

    • Comments: include any optional, relevant notes about the project 

    • Status: Select Planned, In Progress, Completed 

      • For plan development, select Planned if CSFS staff will write a plan in the DPA year or Completed for existing plans.  

      • Enter UOM: # acres covered by plan. 

    • Select “Create” 

  4. Now that the activity has been created, you will need to edit the activity to include the rest of the information from each tab shown on the left-hand side of the Activity box.   

  5. Details - Click the green pencil icon to edit. Each Plan ‘Type’ will display unique details required for each type. 

    • Plan Category: Only required for Forest Management Plan types. Choose the appropriate plan category type: CPA – Plan, Conservation Stewardship Plans, Forest Management Plans, Forest Stewardship Plans, Harvest Plans, Landscape Forest Stewardship Plans, Planting Plans, Practice Plans, Rehabilitation Plans 

      • Note: Forest Ag plans are not management plans, they are stewardship plans. 

    • Plan ID: Follow naming convention below. FIPS Codes can be found here.

      • Private Lands Plans: Start with 3-digit FIPS code for the county_first 2 letters of first name and first 2 letters of last name_4-digit year the plan was completed. (e.g., A stewardship plan completed in 2018 in La Plata County for Jane Doe will look like: 067_JADO_2018

      • Plans Associated with Public Utilities: 3 digit FIPS code_4 letter utility abbreviation_Year. Example: (117_DEWA_2010) 

      • State Land Board Properties: SLB_3 digit FIPS code_Property Name_Year. Example: (SLB_069_Trail Creek_2020) 

      • Colorado Parks and Wildlife Plan Properties: CPW_3 digit FIPS code_Plan Name_Year. Example: (CPW_107_Pearl Lake_2017) 

      • Federal Lands associated with Good Neighbor Authority: GNA_3 digit FIPS code_Project Name_Year. Example: (GNA_003_Rio Grande_2016) 

    • Type: New or Revised.

    • Plan Approval Date: Date plan signed/accepted.  

    • Plan Length (years): Ten years for Forest Stewardship Plans, etc.  

    • Plan Expiration Date: Number of years from approval date based on plan length.  

    • Plan Scale: Only required for Urban Forest Management Plans, EAB Response Plans and Community Wildfire Protection Plans. For Urban and EAB response plans select from:  

      • Community/Municipality 

      • County 

      • Neighborhood (e.g., HOA, School) 

      • Special 

    • Forested Acres: Only required for Forest Management Plans. Enter amount of forested acres the plan covers. 

    • Total Acres: Only required for Forest Management Plans. Enter number based on property boundary. 

    • Landowner legal: Only required for Forest Management Plans. Enter legal description of property.  

    • Forest Ag: Only required for Forest Management Plans. Select Yes or no. 

    • Tree Farm: Only required for Forest Management Plans. Select Yes or no. 

    • Forest Legacy: Only required for Forest Management Plans. Select Yes or no.   

  6. Once all details have been entered, hit ‘save’ before moving on to next tab 

  7. Personnel: Add all CSFS personnel involved with the activity by clicking the the ‘Add Personnel’ icon. 

    • Note: Staff responsible for the activity (e.g., point person on the activity who should be contacted with questions) is required and can only be assigned via the ‘Personnel’ tab in Planner  

  8. Mapping: Click “+” button then click either the black upload button or the black draw new feature button to include the shapefile/project boundary. Polygons should be used for all Plans. 

    • Upload option: Browse to select file > select polygon on map or click “select all” > click “next” > choose symbology > name feature > click “save” 

    • Draw new option: Select polygon for boundary > choose symbology > click “next” > draw feature > click “next” > name feature > click “save”

  9. Landowner: Click the ‘Dispatch Landowners’ icon to assign landowner

  10. Notes: Add any optional messages for others working on the Project

  11. Media: Select the ‘Upload’ icon to upload any additional files, photos, etc.

    • Uploads should consist of only essential documents for project/Plan details (i.e., Forest Ag contracts), or a single, high-quality photo that can be used for media requests, etc. Additional project photos should be uploaded to PhotoShelter.   

  12. History: This will allow you to review the details of when the activity was last modified

Editing a Plan Activity in GeoTracks Web or Mobile

If the activity was already created in Planner:  

From the Planner Application Activities page, select the three vertical dots ‘More Options’ then select box with an arrow ‘Open in GeoTracks’ 

OR 

Select the activities tab and search or hover for the desired activity. Select ‘open activity’ and the summary section will open on the right side of the screen.   

  1. To begin editing, click the green edit button. 

  2. Summary: Verify information is correct for the 1) Location, 2) Offices, 3) Summary tabs; those fields will have been brought over from Planner where the activity was first created.  Click ‘Save and Close’.
